Checking Customers In and Taking Payment
How to ring up a sale at the till, take payment by cash, card, or card reader, look back at past sales, and check in or sell a membership.
This page walks through what you'll do most often at the front desk: ringing up a sale, reviewing past sales, and handling memberships.
If Till / POS doesn't show up in the menu, the owner hasn't switched on the Cashier tool for this salon yet — ask them to turn it on from the Dashboard settings page in the admin app.
Ringing up a sale at the till
Open Till / POS from the menu. Under Appointments, services and products, you'll see today's unpaid appointments first, then every active service, then any products that are in stock if the webshop is switched on.
Use the Search appointments, services and products box, or the All / Appointments / Services / Products filter buttons above the list, to find what you're adding. Select an item's tile to add one to the Current sale panel; select it again to add another. A small count badge on the tile shows how many of that item are already in the sale.
In the Current sale panel, you can adjust quantity on any line with the − and + buttons, take a line out entirely with the bin button, or start again with Clear sale at the top. The Total updates as you go.
Products show how many are left on their tile (in amber once there are only a few), and the till won't let you add more than are in stock. An appointment can only be added once — it's paid for once.
Optionally type the customer's name into the Customer name (optional) field, so the sale is easy to find later.
Choose how the customer is paying from the payment dropdown, then select the button at the bottom of the panel to complete the sale (see below).
A customer who booked online and is paying now? Don't look for the service they had — select Appointments and pick their booking by name and time. It's already priced from the service they chose, so you can't charge the wrong amount, and paying for it marks that appointment as paid.
Only today's appointments that still owe money are listed. Once an appointment is paid for it drops off the list, so there's no way to charge someone twice for the same visit. A cancelled appointment never appears. If a customer tried to pay online and it didn't go through, their appointment is still here — just take the payment at the counter as normal.
You can mix an appointment with other items in the same sale — add their booking and the shampoo they're buying, and take one payment for both.
Taking payment
The payment dropdown offers:
- Cash — select this, then select Record payment. The sale is recorded as paid right away.
- Card — only selectable once the owner has connected card payments for this salon; otherwise it reads "Card · connect Stripe in Admin" and can't be chosen.
- Other — for a payment already settled outside the app. Works the same as Cash.
If you choose Card and the salon has one or more card readers, a second dropdown appears — Take the card payment on — listing each reader by name (showing "· offline" if a reader isn't reachable) plus a Card form on this screen option. Pick where to take the payment, then select Continue to card payment:
- Card form on this screen — a Stripe payment form opens right in the till screen. The customer enters their card details (or you do, on their behalf), and the sale completes once the payment goes through.
- A card reader — the amount is sent straight to that reader. A dialog opens showing the total and "Ask the customer to tap, insert or swipe their card on
<reader name>" while it waits. When the payment settles, the dialog shows Payment received, Payment failed, or Payment canceled. On a failed attempt you can pick a (possibly different) reader and select Try again, or select Cancel payment to stop. You can also select Check status to re-check it manually. In Stripe's test mode, a Test mode: tap a test card button lets you simulate a tap. Select Done once it's finished.
Every sale you complete — by any payment method — is saved and appears at the bottom of the Till / POS screen under Recent sales, and in full under Invoices.
If a sale goes wrong
If a card payment fails, or the customer backs out of the payment page, the till tells you so in a message that stays on screen until you dismiss it — it doesn't flash and disappear. When someone backs out of a card payment, the message confirms the customer has not been charged, and the sale stays in Recent sales marked Awaiting payment until you void it or take the payment again.
If an error stops a sale going through, your sale is kept as it was. Tap Record payment again — for a cash or other payment, if the first attempt actually did go through and only the reply was lost, the till recognises it's the same sale and gives you the original back rather than recording it twice. For a card payment it's more careful still: if that sale was already started, the till says so and asks you to check Recent sales rather than risk charging the customer again. (Change anything in the sale, though, and it counts as a new one.)
Correcting a sale you rang up wrong
Under Recent sales, every paid sale has a Void button.
Select Void next to the sale. A confirmation asks you to check it's the right one.
Optionally type a reason, such as "Rang up the wrong customer".
Select Void sale. Any products go back into stock, and an appointment that was on the sale becomes payable again.
What happens to the money depends on how it was paid. A card payment is refunded to the customer's card automatically. Cash and other payments are handed back at the counter — voiding records that you did, so the day's figures stay right. A voided sale stays in the list, crossed out, so there's a record of what happened and who did it.
A card sale that's still Awaiting payment can't be voided — nothing has been charged yet. If the customer walked away from the card reader, you don't need to do anything: after about half an hour the till releases the products it was holding.
Looking back at past sales
Open Invoices from the menu (under Cashier).
Filter the list with the All, Today, This week, Month, or Date buttons. Month opens a month picker; Date opens a From / To range picker — select Done once you've chosen.
Each row shows the sale number, the customer's name (or "Walk-in customer" if none was entered), the date and time, the payment method, and the total. A sale still waiting on a card payment shows "· awaiting payment"; one that failed shows "· failed".
Closing the till: End of day
Open End of day from the menu (under Cashier) to see what was taken, how, and by whom — enough to count the drawer against. It opens on today; use the arrows or the date box to look at an earlier day, and Print for a paper copy.
- Taken today — totals by Cash, Card and Other. This includes memberships sold at the desk, not just till sales, so the cash figure matches what's really in the drawer.
- Cash to count — the cash you took, less any cash you handed back. Add whatever float you started the day with. Card payments are never in the drawer.
- Handed back and voided sales are listed underneath rather than quietly subtracted, so you can see exactly what happened.
- Rung up by — each person's sales for the day, so a short drawer can be traced. (It covers till sales; memberships sold at the desk are counted in the totals above but aren't split by person.)
If any card sales are still waiting for payment, a notice at the top says so — they're not counted, because that money doesn't exist yet.
"A day" means the calendar day on the tablet you're using, so a sale at 00:30 lands on the new day rather than the previous one.
Checking in a member
Membership check-in and sales only appear if the owner has switched on the Membership feature for this salon.
Open Membership → Check in from the menu.
Under Check in a member, either select Scan and let the customer show their QR code to your device's camera (only offered if your browser supports it), or type their member code into the box by hand — it's printed on their welcome email along with the QR code.
Select Check (or submit after scanning). What happens next depends on the result:
- Valid member — a green panel shows the customer's name, plan, membership status, renewal date, and the perks included in their plan.
- Membership expired — not renewed yet — an amber panel offers an Email renewal link button, so they can renew themselves, or you can sell them a new membership instead.
- Not an active member — shown for any other non-active status.
- No member found — a red panel tells you the code doesn't match any membership at this salon; double-check it with the customer.
Selling a membership at the desk
Open Membership → Sell from the menu.
Under Membership plans, select the plan you're selling. Each plan tile shows its price and billing period, any sign-up fee, and whether it's Full or has a limited number of spots left — a full plan can't be selected.
Under New member, fill in Customer name, Email (the QR code is sent here), and optionally Phone.
Choose a payment method from the dropdown:
- Cash or Other — select Record payment and activate. The membership activates immediately and the welcome email with the QR code goes out right away.
- Card — only selectable once the owner has connected card payments for memberships; otherwise it reads "Card · enable membership payments in Admin". If the salon has card readers, a Take the card payment on dropdown lets you pick a reader or Card form on this screen, the same as at the till. Select Continue to card payment, then follow the same reader dialog or on-screen card form described above. Once the payment is approved, the membership activates and the welcome email goes out — you may briefly see a Card payment received — waiting for Stripe screen while this is confirmed.
Once active, the screen shows the member's Member code and their QR code on screen, and confirms the same QR code was emailed to them. Select Sell another membership to start over.
If a plan is full, or the sale otherwise can't go through, the screen explains why instead of completing the sale. If a card payment is cancelled partway through, you'll see a Card payment cancelled message and no membership is created — you can try again or take another payment method.
