Your Members

Reading the membership Overview dashboard, finding members on the Members list, and managing one member's details.

Once you have members signed up, three screens in the Membership section of your admin app help you keep track of them: Overview, Members, and a single member's details page.

Overview tab

The Overview tab is the first thing you see in Membership. If you have no plans yet, it shows a prompt to create one. Otherwise, it shows these at-a-glance tiles:

  • Active members — how many memberships are currently active.
  • Monthly recurring revenue — what your active memberships add up to per month.
  • Collected this month — money actually taken this calendar month.
  • Expired — not renewed — members whose paid period ran out without renewing (shown with a warning colour if greater than zero; click it to jump to the Members list filtered to "Expired").
  • New this month — members who joined this calendar month.
  • Cancelled this month — memberships cancelled this calendar month.
  • Renewals due in 7 days — members due to renew within a week.
  • Renewals due in 30 days — members due to renew within a month.

Below the tiles, if any customers have started a sign-up but not finished paying, you'll see a note like "2 checkout(s) waiting for payment — unpaid ones stop holding a place after an hour."

Plans summary

A Plans panel lists every plan with its status badge (Draft / On sale / Archived), a fill bar showing members used out of the limit (if the plan has one), the member count, and the monthly revenue it brings in. Click a plan row to jump to the Members list filtered to that plan.

Renewals coming up

A panel lists members whose current period is about to end, with their name, plan, price, and the date they're due to renew. Click a row to open that member's details page. If none are due soon, it shows "No renewals coming up."

Recent activity

A panel lists the latest events across all members (sign-ups, payments, cancellations, and so on) with the customer's name, a short message, and when it happened. Click a row to open that member's details page. If nothing has happened yet, it shows "Nothing yet — activity appears as customers join."

Members tab

The Members tab lists every member who has ever signed up for any plan. If nobody has signed up yet, it shows "No members yet — Members appear here as soon as a customer starts checkout on your website's Membership page."

Searching and filtering

  • A search box ("Search name, email or member code") filters by customer name, email, or their member code.
  • An "All plans" dropdown narrows the list to one specific plan.
  • A row of status chips — All, then one chip per status that has at least one member (Active, Expired, Awaiting payment, Cancelled, Checkout abandoned) — each showing a count. Click a chip to filter to that status.
  • A Clear link appears once you've searched or filtered, to reset everything.
  • An Export CSV button downloads everything your current search and filters match — not just the page you're looking at — as a spreadsheet file, with columns for member code, name, email, phone, plan, status, price, currency, billing, member-since date, paid-through date, whether it cancels at period end, and last payment details.

Searching and filtering look through all your members, not only the ones on screen, so you don't need to page through looking for someone. The list shows 50 at a time with Previous / Next buttons underneath once you have more than that.

The member list

Each row shows:

  • Member — the customer's name, email, and member code.
  • Plan — the plan name and its price/billing (e.g. "€49.00 / month").
  • Status — a coloured badge: Awaiting payment, Active, Expired, Cancelled, or Checkout abandoned.
  • Last payment — "Paid" or "Failed" with the amount and date, or "No payment yet".
  • Paid through — one of: "Paid through" a date (active and not cancelling), "Ends" a date (active but set to cancel at period end), "Expired" a date, "Ended" a date, or a dash for memberships still awaiting payment.

Click any row to open that member's full details page.

A member's details page

Clicking a member opens their details page, showing:

Member summary

  • The customer's name, their status badge, and — if they've scheduled a cancellation — a note showing "Cancels" with the date it takes effect.
  • Their email and phone (click to email or call directly).
  • A details grid: Plan, Price, Billing, Member since, Next (the same "paid through / ends / expired / ended" wording as the list), Last payment, and, only when they apply: Sign-up fee, Cancellation reason, and Renewal reminder ("Sent for this period", shown once a reminder has gone out for their current period).
  • Their member QR code and member code, with a Print card button that opens a printable card showing the customer's name, plan, QR code and member code.

Actions available

Which buttons appear depends on the member's current status:

  • Send renewal link — available for Active or Expired members who aren't already scheduled to cancel. Emails them their renewal link right away.
  • Cancel membership — available for Active or Expired members who aren't already scheduled to cancel. Opens the cancel dialog (below).
  • Undo cancellation — available for an Active member who is scheduled to cancel at period end. Reverses it, and the membership continues as normal.
  • End now — available for an Active member who is scheduled to cancel at period end. Ends the membership immediately instead of waiting for the period to finish.
  • Resend QR email — available for Active members. Re-sends the welcome email with their QR code.
  • Add note — always available. Adds an internal, staff-only note to the member's timeline.
  • Edit details — always available, next to the member's email address at the top of the page. Corrects their name, email address or phone number.

Mistyped a member's email? Use Edit details to fix it. This matters more than it looks: their QR code email and their renewal link — the only way they can pay for another period — both go to that address, so a typo leaves the membership unreachable until it's corrected.

Changing the email address issues a new renewal link, and any link already sent to the old address stops working. That's deliberate — the old link went to the wrong person. After fixing the address, use Resend QR email so the member gets their card at the right address.

Cancelling a membership

Clicking Cancel membership opens a dialog. If the member is Active and not already scheduled to cancel, you choose one of:

  • At the end of the paid period — stays active until the paid-through date, then ends. No renewal reminder is sent.
  • Immediately — ends the membership today. The dialog tells you how many paid days the member hasn't used, so you know what a fair refund would be. No money is returned automatically — use Refund on the payment itself (below) if you want to give some back.

If the member is already scheduled to cancel at period end, the dialog instead asks to confirm: "End this membership today instead of at the end of the period? No refund is issued automatically." If the member is Expired, it explains: "This membership has expired. Cancelling it stops the member from renewing with their link."

In every case, you can type an optional Reason (internal) — this is for your own records only. A note under the field reminds you: "The member gets an email confirming the cancellation." Click Cancel membership to confirm.

No money is returned automatically when you cancel — since nothing charges automatically to begin with, there's nothing further to stop. If you owe the member something back for time they paid for but won't use, refund the payment itself from the Payments panel below.

Ended a membership by mistake? As long as the period the member paid for hasn't run out yet, a Reinstate membership button appears on their page and puts them straight back to Active, with their original member code and QR still valid. Once that paid period has passed there's nothing left to reinstate, and you'll need to sell them a new membership.

Payments

A Payments panel lists every payment attempt for this member: whether it was a Sign-up or Renewal payment, its status (Paid, Awaiting payment, or Not completed), the amount, the period it covers, and when it happened.

Refunding a payment

Any payment that's been Paid has a refund button next to it:

  • Refund to card — for memberships paid online by card. The money goes back to the card the member paid with; it usually takes a few days to show on their statement.
  • Record refund — for memberships paid in cash or by another method at the desk. Hand the money back at the salon, then use this so the refund is written down and the same period can't be refunded twice by mistake.

Either way you can refund the whole amount or just part of it — useful when a member cancels partway through a period and you want to return only the unused days. Refund amounts add up, so you can refund a bit now and the rest later, and the system won't let you give back more than was charged. Every refund is recorded on the member's timeline and shown under the payment.

Timeline

A Timeline panel lists everything that's happened to this membership, newest first — checkout started, activated, renewed, payment failed, expired, cancellation scheduled or undone, cancelled, the customer being emailed, and any notes you've added — each with its message, the date and time, and who/what triggered it.

Checking in a member

The Membership section also has a Check-in tab, for looking up a member by scanning their QR code or typing their member code at the front of house. This works the same way as the front-desk check-in screen — see Checking Customers In and Taking Payment for the full step-by-step.
